Project summary
I led the design of a scalable Webinar Hub tailored for healthcare professionals while ensuring it could support future clients and use cases. Working closely with stakeholders, I delivered high-fidelity prototypes, scalable admin tools, and a modular content system—all while balancing tight budgets, branding feedback, and platform constraints to deliver a product that continues to expand our event platform’s reach.
Challenge.
A key client’s increasing use of the Smart Event App [See Event App case study] presented an opportunity to evolve it into an all-in-one Webinar Hub. The hub would promote, manage, and host live and on-demand webinars for UK healthcare professionals.
Balancing client-specific needs with a scalable product posed challenges in timelines and budget. We focused on an MVP that met both client requirements and long-term business goals.

Solution.
We designed a Webinar Hub to centralise online events and resources for healthcare professionals, featuring:
- A landing page to browse upcoming and on-demand webinars
- Registration and booking via the platform
- Automated notifications and calendar invites
- On-demand access to past webinars
- Accredited video content contributing to professional learning
- Certification for completed sessions
- A CMS for easy content management

Research.
Stakeholder interviews
Interviews with key stakeholders aligned us on goals and success criteria. The client emphasised the lack of engaging, centralised resources for healthcare professionals in the rare disease sector.
Personas
Unfortunately the client would not give us access to speak to any Healthcare Professionals, and due to promised delivery timelines we would not have time to source our own interview subjects. We relied on existing data and assumptions from current users of the Smart Event App.

When stakeholders had differing priorities for feature sets, I facilitated alignment sessions to focus development on high-impact capabilities. This collaborative approach streamlined decision-making and ensured buy-in across teams.

To ensure scalability, we mapped user journeys with the project team, considering additional client use cases beyond the initial implementation. This ensured we aligned the MVP with both immediate delivery needs and future platform opportunities.

Design.
Early stage concepts
Stakeholders needed high-fidelity branded mock-ups early. Leveraging the existing design system, we quickly created UI concepts for presentation to leadership.

To present the concept designs to the client's senior leadership. I created a presentation which clearly documented the user journey and functionality.




Feedback and UI refinements
While the user experience tested well, the client felt the UI looked too "corporate," preferring a more modern feel. They wanted the experience to be more like the Apple website, but we had to balance their request with the constraints of our existing design system.
Managing expectations, I refined the design with cleaner layouts and larger elements while maintaining system consistency.

CMS and admin area
To ensure efficiency, we introduced:
- Front-end Editing: Admins could modify pages directly in Edit Mode, reducing back-and-forth between CMS and live views.
- Configurable Pages: Flexible layouts allowed easy adaptation for future clients.
- Disease Area Sections: Dynamic content tagging enabled users to access relevant materials quickly.
- Scalable Settings: Control of features ensured flexibility for future expansion.

Development constraints and solutions
Due to budget limitations we prioritised:
- A simplified Edit Mode UI with plans for future improvements.
- Granular control over widgets to provide clients options with set-up.
- A flexible registration form builder to support future client needs.

Key leadership moment
I introduced a simplified CMS structure with a ‘skeleton UI’ to balance flexibility and speed. This approach reduced engineering lift and empowered content teams to self-serve. I aligned stakeholders on the trade-off: faster delivery over full editing visibility for admins.

Testing.
Challenges when testing
User testing was limited due to client constraints. The prototype was reviewed internally, but meaningful user insights were unavailable pre-development. I recommended external testing, but the client opted to test post-launch.
Lessons learned
A deeper engagement with healthcare professionals from the outset would have improved validation. Some features needed to be adjusted post-development. Future projects should advocate for early user involvement despite client hesitations.
Development.
Mark-up
I provided detailed component and user flow documentation, ensuring developers understood logic and UI scenarios. Regular feedback loops helped us adapt to unforeseen challenges.





Testing and QA
I worked closely with testers to validate flows and interactions. Clearly documented user journeys made testing efficient, with feedback tracked in the sprint board.

Launch & impact.
Since launch, the client has successfully hosted webinars, with growing on-demand content and user engagement. The Webinar Hub has expanded event platform use cases and attracted repeat clients running event series through the system.
